

To understand a marketing report, you need to separate the website activity from the actual business results. You should check what each number means, where it came from, and if you’re comparing the same type of data. There a difference between a visit, enquiry, and qualified lead. A visit is not always an enquiry. An enquiry does not automatically changes into a qualified lead. And a qualified lead does not always lead to a sale.

Read the metric labels before the trend
A chart can go up while measuring something different from the result you need. So, first check what the metric means and then look at the trend. This will help you understand if your performance has actually improved.

Separate enquiries from qualified leads
Before comparing the lead quality, decide what counts as a valid enquiry. Keep a track of test messages, spam, and duplicate enquiries so a reviewer can check the numbers later. Do not simply remove the records that do not fit the report.
Sit with the enquiry handling team to decide what makes a lead qualified. Consider the product or course they’re interested in, check if they’re in your service area, or if they’re ready for the next step. Write down the criteria, who checked the enquiry and when. Remember, a pending follow-up does not mean a disqualified lead.
Check the source, date range and counting method
Before starting a report, check the account, date range, time zone, and filters. Also check which channel or campaign you’re reporting on. Compare the similar time periods and if something is missing or incomplete, mention it rather than treating it as final.
In GA4, a key event is an action that is important to the business. A key event doesn’t always mean that a sale happened. Be very clear about the event you’re reporting. Don’t group several different events together and call them leads.
Google also provides lead-generation events such as generate_lead for a submitted request and qualify_lead when a lead meets the agreed criteria. These events are required to be set up correctly. Analytics does not decide on its own if a lead is qualified.
Check that a recorded form event corresponds to a successful request received by the business. A submit-button click alone is insufficient. Reconcile event counts with unique enquiry records in the customer relationship management system (CRM). Else, repeated clicks or submissions may look like new leads.
Also check, how the traffic source is being measured. GA4 traffic-source scopes can show first-user acquisition, session acquisition, and event attribution. They all measure different things. Don’t add conversations from different platforms and assume the total equals the number of unique customers.
Calculate rates with matching denominators
Keep the actual numbers next to each percentage so that the calculation is easy to check. The formulas listed below are just reporting examples. They are not performance targets or results from an actual account.

GA4’s session key-event rate is based on the sessions that included the selected key event. It’s not simply the total number of events divided by sessions. While making a lead report, students should select the specific lead event you want to measure. While combining the data, calculate the rate from the combined counts. Don’t simply average the percentages from different rows.
A new enquiry that has been received at the end of the reporting period may still be waiting for a review. Follow the same group of enquiries through the process, record the date you checked their status and compare groups that have had a similar amount of follow-up time.
If the denominator is zero, show N/A and explain why. Also remember, ad cost per lead is not profit. It doesn’t include other costs and doesn’t tell you by itself about sales and revenue.
Turn the numbers into a useful reporting note
A report should end with a clear conclusion and the conclusion should be based only on the available evidence. Mention what happened and why you think it happened separately. So, if the results improved after a page was changed, that doesn’t necessarily mean that the page change brought an improvement.
If enquiries increase, but the qualified leads remain the same, check the qualification rules, duplicate enquiries, and pending follow-ups. After that check the audience, message, or webpage. If the website events and actual enquiries don’t match, look at the tracking and data delivery and then decide if the campaign performed well or not.
Use this working note for an authorised exercise or report you’re allowed to analyse. Enter the information that you have. Do not add the missing numbers by yourself, just to complete the report.

Focus on the check that could change the decision. It is not necessary that a long list of recommendation will always be more useful. Keep your original notes with you so that you can check later if the suggested action was taken and what happened afterwards.
Review AI summaries and AI-search evidence carefully
An AI-written summary needs the same checks as your own. Use only authorised, appropriately redacted data. Do not upload names, contact details or private enquiry conversations simply to make the exercise easier.
Ask the tool to work only from the supplied table, preserve metric labels and flag missing information. Then independently recalculate its rates and inspect every causal claim. A fluent explanation can still use the wrong denominator or turn an unknown result into a confident statement.
Google’s guidance on AI-assisted content stresses accuracy, quality and relevance. For your reporting sample, keep the input, the draft summary and the corrections you made. Describe the analysis as your practice, not ownership of the campaign behind the data.
For answer engine optimisation (AEO) and generative engine optimisation (GEO), keep observed visibility, referral visits, enquiries and sales separate. An appearance in an AI answer is not a lead. A recorded referral does not prove that every later sale was caused by that answer.
Record the platform, question, date and visible evidence when noting an AI mention. Compare the actual metric labels in any platform report. Google’s AI-search guidance explains eligibility without guaranteeing inclusion; a dated observation should not become a claim of permanent visibility.

Frequently Asked Questions
Are clicks, sessions and users the same?
No. A click records an interaction, while a session groups activity during a visit. GA4 user metrics count users under the platform’s identity and metric rules; they are not necessarily a count of unique real people. One person may generate several clicks or sessions. Report each measure by its actual name instead of treating clicks, sessions and users as interchangeable visitor counts.
Does a WhatsApp or phone-button click count as an enquiry?
No. Not always. A click only shows that someone clicked the WhatsApp or phone button. It becomes an enquiry only when a user sends a message, call, or contact the business after clicking on the button. And to call it a qualified lead, the enquiry must also meet the agreed criteria. Do not merge these three stages.
Is a lower cost per enquiry always better?
No. A lower cost doesn’t always mean better results. See how many qualified leads you get, how well you follow up them, and how many of them become actual customers. A cheap enquiry may not be useful if the lead quality is poor. Also, having a low cost per qualified lead does not always mean that the campaign is profitable.
Why can Analytics and the CRM show different lead counts?
Both of them can count leads differently. For instance, Analytics may count clicks or events, while your CRM counts actual enquiries. The results can also vary because of different dates, duplicate enquiries, missed data, or tracking issues. You should check where the difference comes from instead of simply changing one number to match with the other.
What should I write when there is not enough data?
Specify clearly what you know, what you cannot confirm yet, and what needs to be checked next. Keep the pending leads and missing data visible. Don’t use zero for a missing value. You should never claim that a small change is a clear trend.
A useful marketing report should make three things very clear to the user. First, what the evidence shows. Second, what is still unclear. Third, what to do next.
